Financial Recon (the mobile app and the web dashboard at recon.paperlessjobcard.com) is operated by PING NETWORKS (PTY) LTD, registration number 2025/399424/07, of 5 Drome Rd, Formain, Johannesburg, 2090, South Africa (“we”, “us”). Contact: support@paperlessjobcard.com.
Account details: your name and email address, your role, and the organisation you belong to. Accounts are created by an organisation's admin — the mobile app has no sign-up of its own.
Entries you record (withdrawals, spend and EFT payments): amount, currency, date and time, the bank, category or payee, any note you add, a photograph of the slip or receipt taken with your camera, and your on-screen signature.
Location: when you sign an entry, the app reads your device's location once and stores the coordinates, their accuracy and the nearest street address with that entry, so your organisation can see where it was captured. Location is only read while you are using the app, never in the background. If you decline the permission, entries still save without a location.
Organisation settings: organisation name, currency, logo, and the spend categories and cards your admin sets up.
We do not collect contacts, device hardware identifiers, browsing data or advertising identifiers, and the app contains no advertising or analytics SDKs.
Only to provide the reconciliation service: recording entries (offline, then syncing them), showing your organisation's admins and supervisors the reconciliation log and reports, and emailing a PDF of an entry when your organisation turns that on. We do not sell personal information and do not use it for advertising.
Field users see their own entries. Your organisation's supervisors and admins see every entry in the organisation. No organisation can see another's data — this is enforced by the database's row-level security, not only by the app.
Under South Africa's POPIA, your organisation is the responsible party for the personal information in its entries, and we are its operator, processing it only on the organisation's instruction.
Supabase (database, sign-in and photo storage), Vercel (web hosting) and Resend (sending entry emails). Their servers may be outside South Africa; by using the service your organisation consents to that transfer, as POPIA section 72 requires. All data is encrypted in transit (TLS).
A submitted entry is a financial record and is never edited or deleted individually, so that a reconciliation stays trustworthy. Entries are kept for as long as your organisation has an account, and are deleted when the organisation's account is deleted.
In the app, tap Delete my account on the home screen. You can also request deletion without the app on our account deletion page.
You may ask for access to, correction of, or deletion of your personal information. Because your organisation is the responsible party for entries, requests about entries are usually best made to your organisation's admin; you can also contact us at support@paperlessjobcard.com. You may lodge a complaint with South Africa's Information Regulator.
Financial Recon is a business tool and is not directed at anyone under 18. We do not knowingly collect personal information from children.
If this policy changes materially we will update the date above and let organisation admins know.
